HVAC Estimating Services
An HVAC estimate connects equipment schedules and distribution drawings to the quantities and cost structure needed for a bid. Cestimating reviews the specified scope, separates equipment from installation materials and identifies requested labor categories, assumptions and exclusions.
What is included
- Equipment schedules and counts, including scheduled capacities and options
- Ductwork, fittings, dampers, accessories, grilles, registers and diffusers
- Refrigerant, hydronic and condensate piping where shown and included
- Insulation, controls and specialties within the agreed assignment
- Material and labor breakdowns with exclusions, alternates and revision notes
Who this is for
HVAC and mechanical contractors pricing new construction, renovations, fit-outs and equipment replacement, plus general contractors reviewing HVAC scope.
Your deliverable
An organized HVAC quantity and estimate package with equipment, ductwork, piping and requested labor separated for review. Agree spreadsheet format, units and bid alternates before work starts.
Scope checks before pricing
- Confirm whether equipment is owner-furnished or supplied by the contractor.
- Identify responsibility for controls, testing and balancing, startup, rigging and electrical connections.
- Carry design temperatures, outdoor-air requirements and equipment selections from the project documents.
Every deliverable identifies the agreed inclusions and exclusions. Changes to the plans, requested trades or deadline may change the assignment and delivery commitment.

HVAC Estimating questions
Practical answers to help you choose a deliverable and prepare your bid scope.
What does an HVAC estimate include?
An HVAC estimate can include equipment, ductwork and fittings, air devices, piping, insulation, controls and the requested labor and cost breakdowns. Testing and balancing, startup, demolition and rigging should be confirmed in the scope rather than assumed.
Is an HVAC estimate the same as a load calculation?
No. An estimate measures and prices the specified work. A load calculation evaluates heating and cooling demand and supports system design. If load-calculation support is requested, the required building inputs and deliverable must be agreed separately.
Can you estimate ductwork and equipment separately?
Yes. Ask for separate equipment, ductwork, piping, insulation and accessory categories. This helps your team compare supplier quotations and review installation scope without losing the underlying quantities.
Do you estimate residential and commercial HVAC projects?
Cestimating reviews residential, multifamily and commercial HVAC plan sets within the agreed scope. Send the equipment schedules, distribution drawings, specifications and bid deadline so the required deliverable and timing can be confirmed.
Can an HVAC estimate use my supplier prices?
Yes, the pricing basis can be agreed at intake. Include dated equipment or material quotations and explain which items your team will price. Keep quote exclusions, freight and other agreed adjustments visible in the bid review.
How much do HVAC estimating services cost?
The estimating fee depends on drawing volume, system complexity, trade coverage, the deliverable and the deadline. Send the current plans for a scope-based quote. The fee for preparing an estimate is separate from the construction cost shown in that estimate.
How long does the work take?
Typical bid scopes target 24–48 hours after complete plans and scope confirmation. Larger, unusually detailed or multi-building packages are scheduled after review. Tell us your bid deadline before the assignment is confirmed.
What should I send to request a quote?
Send the complete current drawings, specifications, equipment or fixture schedules, issued addenda, project city and state, bid deadline and the trades you need. Include your pricing instructions, required output format and exclusions.
Are addenda and revisions included?
Addendum and revision support is agreed at intake. Send the changed drawings and specifications with their revision numbers; the affected scope, fee and delivery time are confirmed after review.
