How to Organize Addenda Without Losing Track of MEP Scope

Addenda arrive late and change scope quietly. A little structure keeps them from slipping through.

Track three things

  • Which sheets and specs each addendum touches
  • Which trade it affects: mechanical, electrical or plumbing
  • Any new assumption or exclusion it creates

Keep one current set

Always estimate from the latest documents and note the addendum number on the deliverable, so your review is easy to audit.

Create a simple change register

For each addendum, record its number, date received, affected drawing or specification, trade and bid impact. A short register makes it easier to ask whether a quantity change is already included. Keep clarifications that do not change a drawing alongside the relevant scope so they are considered during the final review.

Separate replacement sheets from additional scope

A revised sheet may replace an earlier drawing, add a new requirement or delete previously measured work. Compare the current document with the prior issue before adding quantities. Simply adding the new quantities to the old total can retain deleted equipment or count the same branch twice.

Review the connections between trades

An equipment change can affect its electrical connection, mechanical distribution and plumbing accessories. Record each affected trade, even if the addendum appears in only one drawing package. Confirm responsibility for the connections with the bid scope instead of assuming that another trade has included them.

Recheck quotations and assumptions

A quantity change may require a revised supplier quote or a different installation assumption. Keep the price basis and its date next to the scope it supports. If a substitution changes equipment accessories or connection requirements, include those differences in the review. Unresolved information should remain a visible clarification or allowance.

Before you issue the bid

  • Confirm the drawing issue and addenda included in the estimate.
  • Check removed, relocated and new equipment separately.
  • Reconcile trade summaries with the revised quantity schedules.
  • Update exclusions, alternates and allowances affected by changes.
  • Confirm that the final deliverable and supplier quotes use the same scope.

Common revision questions

Are addenda included in the original estimating fee?

Revision support depends on the assignment agreed at intake. Send the changed files and deadline so the affected scope, fee and timing can be confirmed.

What if an addendum arrives just before bid time?

Send it promptly with the bid deadline and identify any known critical changes. The estimating team needs to review the actual documents before confirming a turnaround.

Request a scope-based quote.

Send the current plans, location and bid deadline. Typical bid scopes target 24–48 hours after scope confirmation.
