What Does an HVAC Estimate Include? A Scope Checklist

An HVAC estimate can include scheduled equipment, ductwork, air devices, piping, insulation, accessories and requested labor and material cost breakdowns. The project documents and written assignment determine what is included. Use this checklist to define the scope before the estimating work starts.

Equipment and schedules

Provide equipment schedules, specifications and any supplier quotations you want used. Identify units that are new, retained, relocated or owner-furnished. Confirm which options and accessories belong in the contractor’s supply package. A schedule count is only useful when it matches the responsibility described in the bid scope.

Ductwork and air distribution

Include the plans, sections and details used to measure duct routes and sizes. Agree how fittings, dampers and accessories will be reported. Check grilles, registers and diffusers against the schedules. Keep demolition and reuse separate from new quantities so the bid team can review the work by installation condition.

Piping, insulation and controls

Identify refrigerant, hydronic and condensate piping shown in the assignment. Include the relevant insulation and piping specifications. Controls often connect equipment, devices and another contractor’s package, so confirm the limits of the requested controls scope before pricing.

Scope items to confirm explicitly

  • Equipment delivery, rigging and installation access
  • Demolition and temporary connections
  • Testing, adjusting and balancing
  • Startup and requested commissioning-related activities
  • Controls, electrical connections and supports
  • Alternates and addendum coverage

These items are a discussion checklist, not a promise that they are included in every assignment. Use the contract documents and scope agreement to allocate responsibility.

Is a load calculation included?

An estimate quantifies and prices the specified work. A heating or cooling load calculation supports design decisions and requires different building inputs. Cestimating can review a request for load-calculation support separately; an estimating assignment does not replace required design approval.

How much does HVAC estimating cost?

The estimating fee depends on the plan volume, systems, detail, requested output and deadline. It is separate from the construction cost of installing the HVAC work. Send the plans for a scope-based quote instead of assuming a universal fee per square foot.

What should I send?

Send the current mechanical drawings, equipment schedules, specifications, addenda, project location and bid deadline. Include your preferred pricing basis and exclusions. Typical bid scopes target 24–48 hours after complete plans and scope confirmation; complex packages are scheduled after review.
